Onboarding & Import
Onboard new persons with CV upload, AI-powered CV processing and skill extraction, and bulk import.
Admins can onboard new people (including with CV upload and AI-powered skill extraction) and run bulk imports so the tenant stays up to date without manual data entry.
Onboarding New Persons
Onboarding adds a new person to the tenant and optionally fills their profile and skills from a CV or form.
With CV Upload
- Go to Admin → Onboarding (or Members → Onboard).
- Click Onboard with CV (or Add person and choose "Upload CV").
- Upload the CV — Supported formats (e.g. PDF, DOCX) are listed. The file is sent for processing.
- AI-powered processing — The system extracts text and runs skill extraction: it suggests skills and sometimes levels from the CV. You may see a list of suggested skills (often as "unverified" or "suggested").
- Review and adjust — Confirm or edit name, email, and other profile fields. Review suggested skills: verify (add to catalog or accept for this person), merge into an existing skill, or remove.
- Invite or create — Create the person and optionally send an invite so they can sign in and complete their profile. Assign initial role(s).
Tip: After onboarding, check Admin → Skills for any new suggested skills and merge duplicates so the catalog stays clean.
Without CV (Manual or Form)
- Enter name, email, and other required fields manually.
- Assign role(s) and send an invitation or create the membership directly (e.g. after SSO or bulk import).
- The person can later add skills via self-assessment or profile.
AI-Powered CV Processing and Skill Extraction
When CV upload and AI processing are enabled:
- Text extraction — The CV is parsed to get structured text (sections, bullets).
- Skill extraction — An AI model (or rules) identifies skill names and optionally levels or experience from the text. These appear as suggested skills for the person.
- Unverified skills — If a suggested skill isn't in your catalog, it may be created as "unverified" or "suggested". Admins can verify, merge into an existing skill, or ignore in Admin → Skills (or the onboarding review step).
Processing is typically done in the cloud or a backend service; ensure CVs are handled according to your privacy and data residency policies.
Bulk Import
For bulk import (many people at once):
- Go to Admin → Onboarding (or Import / Bulk import).
- Download the template (if available) — CSV or similar with columns for name, email, role, department, etc.
- Fill the file — One row per person. Use the exact column names and formats required.
- Upload — Upload the file. The system validates rows and may show errors (e.g. duplicate email, invalid role).
- Map columns (if needed) — Map file columns to SkillHouse fields (name, email, role ID, etc.).
- Run import — Create members and optionally send invites. Review the summary (created, skipped, errors).
After import, check Members and Invitations to confirm everyone was added and invite links sent if applicable. Fix any errors and re-import or fix manually as needed.
Search and Discoverability
When data is imported (whether via onboarding or bulk import), SkillHouse automatically generates search embeddings so the new records are immediately discoverable:
- Skills imported via bulk import are indexed for semantic search (People Finder, AI Assistant, skill search).
- Capabilities imported via bulk import are indexed for capability search and matching.
- Persons imported via bulk import or onboarding get a profile embedding so they appear in People Finder results.
- CV processing during onboarding extracts skills and indexes them for search as well.
This means imported data is searchable right away — no manual steps needed to make it findable.
